Recruiter/Volunteer Coordinator: Transition Plan

Good Morning Team:

This morning at 9am, Ms. Hannah Lee began working with Walter as part of the Board-approved Transition Plan.  If you see her in quarters, please be sure to help make her feel welcome.



Hannah is a senior at Case Western Reserve University majoring in Psychology with experience working with non-profit organizations.  She will work closely with Walter this week to ensure a smooth transition as he departs to launch his new career adventures and the Hiring Committee works to select a permanent replacement.  Although Hannah has training as a Lifeguard with CPR/AED for Professional Rescuers and First Aid and her father is a Member at CJVFD, she is new to working within the fire service world.  Please be patient and helpful as she provides temporary coverage over the weeks ahead.

We will introduce Hannah in person, at the Membership Meeting on Wednesday night, and discuss her role more.  Some of her duties will include:
  1. Shadowing Walter during his final week with the BVFD to obtain all logins, site data, account info that Walter manages.
  2. Following up on all new BVFD Members, current applicants to ensure no one slips between the cracks.  
  3. Handling the existing BVFD website to respond to inquiries and post any updates needed.

  4. Handling all BVFD social media forums to respond to inquiries and post any updates needed.

  5. Handle all existing tracking systems for all recruitment/retention/participation goals.

  6. Help coordinate activities for prospective volunteers (scheduling ride alongs, coordinating visits and handling logistics for potential live-in members).

  7. Work with our Membership Committee to coordinate all steps in the application process (inquiries, applications, reference checks, scheduling interviews and ride alongs, supporting orientation sessions, etc.)

  8. Handle our retention/incentive awards program.  Walter will brief her, we will help guide actions as needed.

  9. Work with Sara & Rick to maintain the published monthly calendar with member’s designated duty nights delineated and ensuring duty night obligations are fulfilled and logged.

  10. Make follow-up contact with volunteer members weekly (via phone or others means) of direct personal contact to verify duty night commitment/schedule adjustments, when necessary.

  11. Identifying and documenting volunteer members who are not meeting their duty night requirements and developing a personal plan with those members to increase their involvement.

  12. Working closely with Leadership Team and Suzi and new members to identify and register for needed classes. Manage and measure training progress. 
  13. Helping to manage the scheduling calendars to coordinate applicants, duty shifts, training, and community events to ensure ample staffing and effective time/resource management.
  14. Providing brief weekly summaries and detailed monthly reports to BVFD leadership (staffing levels, volunteer member achievements and issues, applicant status updates, etc.)
  15. Helping with BVFD business day needs and "other duties as assigned" to keep us afloat during the summer.
  16. Transferring all the "Walter knowledge" and data to Walter's replacement, once hired.
